Information for Session Leaders
Children and Youth Conference for North Texas Libraries
Session Leaders:
Thank you for agreeing to lead a session at the Children and Youth Conference. NTRLS will need to collect some information from you so that we can prepare the conference materials and make sure your room is properly equipped.
Please submit the session leader form to NTRLS by fax (817-377-8020 or 800-856-8020) or email
no later than the date specified on the form.
To reduce paper waste, we will ask attendees to print their own handouts from the CYC website. Unless you prefer to control access to your materials, please plan to provide electronic files of whatever handouts will be needed for your session, no later than the date specified on the session leader form.

Some Tips and Guidelines for Conference Session Leaders
Session Content
Attendees at our previous conferences have indicated a preference for “how-to” sessions whenever the topic lends itself to such. For example: a session on blogging would not only define blogs, but provide specific instructions or demonstration on creating a blog.
Guidelines for Handouts
Large presentations can be formatted with multiple slides per page to reduce the number of pages in the handout. Also consider the possibility that some slides of your presentation might not need to be included in the handout.
Handouts to be posted online should normally be in PDF format. If you give us a Word Document or PowerPoint presentation (PPT file), we will convert it to PDF ourselves, making our own decisions about formatting options.
If you are providing a PowerPoint presentation, please be sure that the text on each slide is large enough to be legible when printed with multiple slides per page.
Please do not provide videos or slideshows (including PowerPoint PPS files) to be posted online. Feel free, however, to provide a document containing a link to a video or slideshow available elsewhere on the Internet.
Presentation Length versus Session Length
Presentations scheduled for one-hour sessions should be designed to last only 45 minutes, and 45-minute sessions should be designed to last only 30 minutes, in order to reserve up to 15 minutes for attendees to ask questions either as part of the group or individually, after the group has been dismissed. Please remember that the session leader after you will need to be able to set up and check equipment during the very brief break between sessions.
